Privacy Policy
Effective date: [set the day this page goes live]
Your Shipping Guy ("we," "us") operates yourshippingguy.com (the "Site"). We are an independently owned agency of TOP Worldwide (MC# 819161), and we arrange truckload and LTL shipping. This policy explains what personal information we collect through the Site, how we use and share it, and the choices you have.
1. Information you give us
- Rate requests: your name, company, email address and phone number, and shipment details such as pickup and delivery cities, pickup date, equipment, weight, pallet count, special requirements, PO number, order or job number, branch and notes.
- Bid sheets and RFQs: the file you upload (spreadsheet), your name, company, business email, and optionally your phone number, due date and a message.
- Document photos: a photo of a purchase order, order sheet, email or screen that you choose to take or upload (see section 3).
- Newsletter: your email address.
- Email and phone: anything you send us directly.
2. Information collected automatically
- Cookies and analytics: we use Google Analytics 4, which uses cookies and similar technology to record pages viewed, links clicked (for example, our call, text and email buttons), quote-form steps completed, device and browser type, and approximate location derived from your IP address. We do not send your name, email or phone number to Google, and we do not send Google the private links to your quote status page.
- Bot protection: our forms use Cloudflare Turnstile, which receives your IP address and browser signals to tell people from bots.
- Web fonts: our pages load fonts from Google Fonts, so Google receives your IP address when a page loads.
- Server logs: our hosting and database providers keep standard technical logs (IP address, time, page requested).
- Photo-reader log: when you use the photo feature, we record the file size, time and a one-way scrambled (hashed) version of your IP address to limit misuse. We do not keep your raw IP address in that log.
- Your browser: after a rate request, your browser stores a private link to your quote status page so you can return to it.
3. How PO photos and documents are used
- When you use "snap a photo of your PO," the photo is reduced in size on your device and sent to Anthropic's Claude service, which reads the shipment details and returns draft fields. You review and can change every field before anything is sent to us.
- We do not store the photo itself.
- Uploaded bid sheets are stored in private storage that is not publicly accessible. We read the lanes from them to prepare your pricing.
- We never sell your documents or use them, or let anyone use them, to train AI models.
4. How we use your information
- To prepare and send rates and pricing you request.
- To book, dispatch, track and bill shipments.
- To communicate with you about your requests and loads.
- To keep the Site secure and prevent spam and abuse.
- To understand and improve how the Site is used.
- To send our newsletter, if you signed up.
- To keep business records and meet legal obligations.
5. How we share your information
We do not sell your personal information, and we do not share it for cross-context advertising. We share it only:
- With service providers who run the Site and our business on our behalf: hosting and bot protection (Cloudflare), database and file storage (Supabase), email delivery and file backup (Microsoft 365), email delivery (Resend), customer records (HubSpot), internal staff alerts (Pushover), analytics and web fonts (Google), and document reading (Anthropic).
- With our back-office partner, TOP Worldwide, and with the motor carrier, when you book a shipment, limited to what is needed to move and bill the load.
- When required by law, or to protect our rights, our customers or the public.
- With a buyer or successor if our business is sold or reorganized, under this policy.
6. Cookies and your choices
- You can block or delete cookies in your browser settings.
- You can opt out of Google Analytics with Google's browser add-on: tools.google.com/dlpage/gaoptout.
- Learn how Google uses data: policies.google.com/technologies/partner-sites.
- Do Not Track: the Site does not currently respond to browser "Do Not Track" signals.
7. How long we keep information
We keep rate requests, bid sheets, photo-reader logs and related records for 3 years, and then we delete them. If you unsubscribe from our newsletter, we stop sending it. Document photos are not stored by us.
8. Security
We use encrypted connections (HTTPS), private storage, access controls and bot protection. No system is perfectly secure, so we cannot promise absolute security.
9. Your choices and requests
You may ask us to tell you what personal information we hold about you, to correct it, or to delete it, by emailing [email protected]. We may need to keep some records for legal or billing reasons. Every newsletter email has an unsubscribe link.
10. Business users and children
The Site is for businesses that ship freight. It is not directed to children under 13, and we do not knowingly collect their information.
11. Changes to this policy
We will post any changes on this page and update the effective date. If a change is significant, we will say so on the Site.
